Frequently asked questions

Do dentists need a specialist accountant?

You do not have to use a specialist dental accountant, but dental experience can be valuable. Associates, practice owners and groups can have sector-specific issues around self-employment, associate pay, NHS income, UDA calculations, practice structures, pensions and dental business reporting. A specialist accountant deals with these situations regularly rather than occasionally.

Can you help with both NHS and private income?

Yes. Although we work primarily with private and mixed practices, we support purely NHS, purely private and mixed-income dentists.

NHS and private income need to be tracked separately because they are earned and monitored differently. For NHS practices, contract values and performance measures such as UDAs can affect income and potential clawback, while private income comes from treatment provided directly to patients.

We make sure both income streams are recorded correctly so your accounts reflect how the practice is performing and provide reliable information for tax, management reporting and lender assessments.

Do you support practice start-ups and acquisitions?

Yes. We provide financial forecasting, business structure planning, due diligence support, and lender pack preparation for dentists buying or starting a practice. Our in-house finance brokers can also help source the acquisition finance you need. If you are buying a practice, it is worth speaking to both our accountancy and finance teams early in the process – ideally before you have agreed heads of terms – so that the structure of the purchase is tax-efficient from the start and your lender application is as strong as possible.

Are there any one-off or setup fees?

Yes. There is a transition fee equal to one month’s fee when you join. For complex cases, such as practices with historical bookkeeping that needs cleaning up or associates switching mid-year with incomplete records, additional setup support may be required and we will discuss any costs with you in advance. There are no other hidden fees – everything you pay for is set out in your engagement letter before we start.

When I prepay for a year, does that lock in my price?

Not automatically. If your business grows or your situation becomes more complex during the year – for example, if you acquire a second practice or add a director – we will rebase your fee for the remainder of your plan. We apply the same annual discount to any increase, so you still benefit from having prepaid. We will always discuss any fee changes with you before they take effect.

What’s your cancellation policy?

All clients commit to an initial 12-month period. After that, three months’ notice is required if you decide to leave. We ask for this notice period because unwinding an accounting relationship properly – completing outstanding returns, handing over records to a new accountant, and ensuring nothing falls through the gap – takes time and we want to do it properly for you even when you are leaving.

Which package is right for me?

The right package depends on whether you are an associate, practice owner or dental group, and how much ongoing support you need. Dental associates can choose between Self Assessment and limited-company packages; practice owners can choose based on the level of bookkeeping, reporting and financial support required; and dental groups are supported according to the complexity of their structure and reporting. If you’re unsure, book a call and we’ll recommend the package that properly covers what you need.

How much does a dental accountant cost?

Our fees start from £650 per year plus VAT for associate dentists on a basic Self Assessment package, rising to £1,800 per year plus VAT for associates operating through a limited company on our comprehensive service.

For dental practice owners, packages start from £500 per month plus VAT. Dental group and DSO packages start from £950 per month plus VAT, with larger or more complex multi-entity groups priced according to scope.

A one-off transition fee equal to one month’s fee applies when you join. If additional bookkeeping clean-up or setup work is required, we will agree the scope and cost with you before starting.

What is Making Tax Digital and does it affect me?

Making Tax Digital for Income Tax has applied since April 2026 to qualifying sole traders and landlords with more than £50,000 of qualifying gross income from self-employment and property. The threshold falls to £30,000 from April 2027 and £20,000 from April 2028. If you are affected, you need compatible software, digital records and quarterly updates to HMRC.

We handle the MTD process for eligible associate clients and help keep their records and submissions compliant throughout the year.

Can I switch dental accountants mid-year?

Yes. You can switch accountants at any time. We handle the transition, including contacting your previous accountant for the handover of records, reviewing your existing accounts and getting your Xero setup in place. There is a one-off transition fee equal to one month’s fee. If your records require additional clean-up or setup work, we will agree any additional cost with you before starting. A straightforward handover can often be completed within two to three weeks, depending on how quickly the required records are provided.
